Fee & Cancellation Policy

Service Fees

Current fees for each service are listed on our Services page. All fees are in US dollars and are subject to change. The fee in effect at the time of booking confirmation applies to that engagement.

Payment Schedule

Travel Strategy Session ($150): Payment in full at booking.

Trip Consultation ($350): Payment in full at booking. If you proceed to a Complete Itinerary Design or Full Service Travel Planning package within 30 days, the $350 fee is credited toward your total.

Complete Itinerary Design (from $750): 50% deposit required to begin work. Balance due upon delivery of the final itinerary document.

Full Service Travel Planning (from $1,500 · inquiry only): Payment schedule agreed upon in writing at the start of each engagement. Typically structured as a deposit, a mid-project payment, and a final balance.

Cancellation Policy

Travel Strategy Sessions and Trip Consultations: These sessions are non-refundable once confirmed. If you need to reschedule, please contact us at least 48 hours before your scheduled session. One reschedule is offered at no charge. Cancellations with less than 48 hours notice forfeit the full fee.

Complete Itinerary Design: The 50% deposit is non-refundable. If you cancel after work has begun, you will be invoiced for any work completed beyond the deposit amount, proportional to the stage of completion. If you cancel before work begins (prior to the intake questionnaire being returned), the deposit may be applied as a credit toward a future booking within 12 months.

Full Service Travel Planning: Cancellation terms are outlined in your individual client agreement. Generally: deposits are non-refundable, and fees for work completed at the time of cancellation are due in full.

Third-Party Bookings

Where The Field Guide has made bookings with third-party suppliers (hotels, guides, experiences) on your behalf, cancellation terms are governed by each supplier's individual policy. The Field Guide will advise you of applicable third-party cancellation terms at the time of booking. We are not responsible for fees charged by third-party suppliers upon cancellation.

Modifications

Requests to modify the scope of an engagement after work has commenced may result in additional fees. Any scope changes will be confirmed in writing before additional work begins.
