Client Services Agreement

Please read this agreement carefully before booking any service with The Field Guide.
1. Parties
This agreement is between The Field Guide LLC ("The Field Guide," "we," "us") and the individual or party booking services ("Client," "you").
2. Services
The Field Guide provides travel planning and itinerary design services as described on our Services page. The specific services, deliverables, timeline, and fees for each engagement will be confirmed in writing prior to the commencement of work.
3. Scope of Services
Our services are limited to travel planning, itinerary design, and coordination as agreed. The Field Guide does not book flights. Accommodation booking, restaurant reservations, and experience ticketing are available as add-ons for applicable service tiers. Private guided tours with a dedicated local guide and driver are currently available in Honduras only.
4. Payment
Payment terms vary by service tier:
Travel Strategy Sessions and Trip Consultations are paid in full at the time of booking.
Complete Itinerary Design requires a 50% deposit to begin work, with the balance due upon delivery of the final itinerary.
Full Service Travel Planning payment schedules are agreed upon in writing at the start of each engagement.
All fees are in US dollars. Payments are processed securely through Stripe or PayPal platform.
5. Cancellations and Refunds
Please refer to our Fee and Cancellation Policy for complete terms. In summary:
Strategy Sessions and Consultations are non-refundable once confirmed.
Deposits for itinerary and planning packages are non-refundable.
Balances not yet invoiced may be eligible for partial credit depending on the stage of work completed.
6. Client Responsibilities
Clients are responsible for providing accurate and complete information about their travel dates, party size, preferences, and any relevant requirements (health, mobility, dietary, etc.) that may affect planning. The Field Guide is not responsible for planning errors resulting from incomplete or inaccurate information provided by the client.
Clients are responsible for verifying all travel documentation requirements including passports, visas, and entry requirements for their destination. This is not a service provided by The Field Guide.
7. Third-Party Suppliers
Where The Field Guide makes recommendations or bookings with third-party suppliers (hotels, guides, restaurants, transport providers), we act as an intermediary only. We are not responsible for the performance, quality, or conduct of third-party suppliers, nor for any loss, damage, or disappointment arising from their services.
8. Limitation of Liability
The Field Guide's liability is limited to the fees paid by the client for the specific service in question. We are not liable for indirect, incidental, or consequential damages including but not limited to trip cancellation, travel delays, or third-party supplier failure.
9. Intellectual Property
All itineraries, written plans, and materials produced by The Field Guide are the intellectual property of The Field Guide and are licensed to the client for personal use only. They may not be reproduced, resold, or distributed without written permission.
10. Governing Law
This agreement is governed by the laws of the Commonwealth of Virginia, United States.
